Community Meeting Room


The Cynthiana-Harrison County Public Library Annex is the new home of the Charles W. Feix Community Room

Located at 101 E. Pleasant St, the Library Annex is where many of the library's programs are held. This building constitutes the Community Room for the Library and can be reserved/rented to the public if the person or group meets the critera outlined below.

Community Room Policy

Our Community Room has changed and so have some of our policies!

Availability:

  • The Cynthiana-Harrison County Public Library Board of Trustees supports the belief that the provision of meeting space is a public service. This service encourages sharing of ideas by other governmental organizations as well as community groups.
  • The CHCPL facility is open to organizations engaged in educational, cultural, intellectual, or charitable activities on an equitable basis, regardless of the beliefs or affiliations of individuals or groups requesting its use. Meetings held in the room will be open to all without restrictions based on race, sex, or religious creed.
  • Granting permission for the use of the facility does not imply endorsement by the CHCPL or the Board of Trustees of the user or the users beliefs.

Rules For Use:

  • When advertising meetings, any group that is not part of the librarys program must include a disclaimer in any printed, displayed or verbal advertisement. The disclaimer must read, This program is not sponsored by the Cynthiana-Harrison County Public Library.
  • All groups will agree to hold the Cynthiana-Harrison County Public Library and the Board of Trustees free from any loss, damage, liability, costs, and/or expense that may arise during or to be caused in any way by such use of library facility.
  • No organization will sell, solicit, or take orders within the limits of the facility.
  • The library cannot be responsible for loss or damage to exhibits left in the room or personal property of those attending the meeting.
  • The user is responsible for all table and chair arrangements, including any set up and take down.
  • The people using the room shall leave it in a neat, clean, and orderly condition including any equipment used. The user will be responsible for any costs resulting from damage to the meeting room. Future use of the community room will be denied.
  • Refreshments may be served in the room, and organizations using it shall provide supplies and utensils that will be needed. (A $50 deposit will be collected if refreshments are served. No library supplies will be used.)
  • Clean-up is the responsibility of the user. Failure to clean up will mean a loss of the deposit. (Janitor service is not provided.)
  • Groups having birthday parties, showers, reunions, etc. will be prohibited from using the room.
  • Alcoholic beverages of any nature are prohibited on all library premises.
  • Smoking is prohibited inside the building but allowed on the outside grounds.

Reservations:

  • Library programming will have first priority in scheduling room use.
  • The library reserves the right to cancel a reservation granted to an outside group when unexpected Library needs arise. 72 hours notice will be given to the responsible person on the application.
  • The community room will be available during regular library hours on a first come/first reserved basis. Usage running after library hours must be approved by the Library Director.
  • One person from the organization shall be responsible to the library for the groups use of the room. That person must complete a reservation form. A $50 refundable deposit will be collected from any group wishing to serve refreshment.
  • Reservations will be taken over the phone but will not be final until all paperwork is completed and returned. All groups will be notified of approved or rejected applications.
  • Applications may be rejected and previously granted permission may be withdrawn for violation of library rules or conduct inconsistent with library rules and regulations.
  • Reservations may only be made by an adult, 18 years of age or older during business hours of 9:00-5:00, Monday through Friday. Applications can be picked up at the circulation desk.
  • An organization may schedule the meeting room for no more than once a month, two months in a row. Exceptions can be made on an individual basis by the library director.
  • If the library is closed for an emergency such as weather, the room will not be available.
  • The person responsible for reserving the room must make arrangements to sign for and pick up the key.
